Job Purpose:
The Logistics Assistant is a key member of the Operations team within the country program, providing logistical support services to ensure the availability and quality of logistics that fully support SNV operations. This role involves strong logistical planning, multitasking, and a focus on efficiency and cost-effectiveness. The Logistics Assistant will work closely with all project teams, ensuring timely and effective logistical and fleet support. The role reports directly to the Senior Contracting and Procurement Specialist.
Job Description:
Fleet Management
- Provide administrative support to the Operations Team.
- Coordinate closely with the Senior Contracting and Procurement Specialist for fleet and facilities management.
- Optimize transportation routes to minimize costs and maximize efficiency.
- Gather, analyze, and prepare relevant reports (fuel usage, fleet maintenance, and facilities management) and provide weekly updates.
- Anticipate delivery challenges to ensure service continuity.
- Escalate issues timely through the appropriate channels to ensure full logistical support.
Facilities Management
- Coordinate country and project office facilities management, ensuring office leases are renewed on time.
- Ensure timely maintenance and repairs of facilities, including generator services.
- Maintain office properties in good condition for employee safety and property protection.
- Be a team player with strong attention to detail, ensuring smooth execution of facilities management.
Asset Management
- Organize and track all organizational assets and develop an asset register.
- Coordinate asset disposal with project managers or project finance teams.
- Ensure the asset register is frequently updated to track new assets.
Filing and Archiving
- Control, distribute, and file motor vehicle logbooks and related documents.
- Maintain a filing system in line with archiving procedures.
Administrative Duties
- Set goals and objectives and evaluate transport facilitators’ performance.
- Evaluate the performance of logistics vendors.
- Support asset inventory management.
- Monitor, analyze, and report data on logistics support services performance and update the line manager.
Qualifications:
- Bachelor’s degree in Procurement and Logistics, Administration, or a relevant qualification.
- At least 3 years of relevant experience in logistics management and administration.
- Experience in the private sector is an added value.
- Good understanding of managing a large pool of vehicles.
- Self-motivated with good attitude, teamwork, communication, networking, and organizational skills.
- Ability to work independently and effectively within tight deadlines.
- Advanced proficiency in MS Word, Excel, and social media.
