Purpose of the Position:
The Warehouse Assistant is responsible for the proper and safe custody of all food and non-food commodities entrusted to World Vision by donors. This includes documenting commodity transactions in the warehouse, such as receiving, storing, and delivering all food commodities in compliance with World Vision and donor (WFP) guidelines.
Key Responsibilities:
Commodity Management (40%)
- Ensure all commodities arriving and leaving the warehouse are properly accounted for.
- Receive and prepare storage plans for incoming commodities.
- Scrutinize waybills for correct quantities and quality.
- Record any discrepancies, damages, or losses immediately.
- Oversee the loading and offloading of commodities.
- Reconstitute damaged commodities to prevent further loss and document the activity.
- Maintain high warehousing standards and organize commodities by type and shipment number.
Commodity Accounting (20%)
- Accurately update all warehouse records, including ledger books, stack cards, and stock control sheets.
- Keep daily records of warehouse movements.
- Ensure no commodities leave the warehouse without prior approval.
- Mitigate unexplained warehouse losses.
Warehouse Management (15%)
- Ensure compliance with warehouse operation rules through routine inspections.
- Maintain a clean, dry, and pest-free warehouse.
- Ensure adequate equipment and supplies are available.
- Follow correct procedures for unfit commodities.
- Monitor for infestation and take immediate action if necessary.
Reporting (10%)
- Submit weekly and monthly warehouse reports to the Food and Cash Assistance Officer.
- Prepare and submit monthly summaries and reports by the specified deadlines.
Capacity Building of Warehouse Staff (10%)
- Provide training on warehouse management, control, and documentation.
- Supervise warehouse cleaners, guards, and truck drivers during loading and offloading.
KNOWLEDGE, SKILLS, AND ABILITIES:
Minimum Requirements:
- Bachelor’s degree in IT, Computer Science, Social Sciences, or a related field.
- Minimum of three years’ experience in food commodities handling, tracking, and accounting, preferably with a busy NGO or UN agency.
- Knowledge of warehousing, transport, shipping, and freight forwarding.
- Demonstrated ability to manage a team and cooperate with other units.
- Training in IT is an advantage.
- Proficiency in standard office software (e.g., Microsoft Word, Excel).
- Excellent communication, analytical, and report writing skills.
- Good community engagement and presentation skills.
- Fluency in English; knowledge of Kiswahili, Madi, Lugbarati, Arabic, or Kakwa is an advantage.

Work Environment:
- Frequent travel to the field (75%) and office work (25%).
- On call: 24 hours.
