Company Overview: Asili Agriculture is a fully-mechanized, large-scale farming company that manages dual-season production of high-quality maize and soybeans for supply to regional food processors. Operational since January 2014, Asili farms over 7,000 hectares in Western Uganda using a conservation agriculture and precision farming approach. The company’s mission is to deliver integrated agricultural land management and marketplace solutions that empower farmers and food system stakeholders to sustainably increase profitability, resilience, and nutrition.

Job Purpose: The Human Resources Manager will support the delivery and implementation of all HR policies and procedures at Asili Agriculture. They will handle day-to-day HR and administration tasks, contribute to the development, monitoring, and improvement of HR and administration systems, and manage specific areas within the HR function as needed.

Main Duties and Responsibilities:

  1. Recruitment and Talent Acquisition:
    • Prepare new employee files and ensure completeness.
    • Manage the hiring process, support Line Managers and Directors in developing job descriptions.
    • Advise on job positions, prepare gap analyses, and suggest structural improvements.
    • Coordinate with recruitment agencies.
    • Oversee candidate shortlisting, interviewing, and job offers.
    • Conduct background checks and due diligence.
  2. Onboarding, Retention, and Offboarding:
    • Manage the new employee onboarding process.
    • Handle employee offboarding.
    • Draft and manage renewal and new employee contracts.
  3. Employee Training and Development:
    • Review training needs and propose professional development opportunities.
    • Lead internal training for company policies, procedures, and tools.
    • Identify unique professional development experiences for staff.
  4. Legal and Compliance:
    • Prepare employee contracts for review and signing.
    • Liaise with insurers on Workman’s Compensation and Group Personal Accident policies.
    • Assist expatriate staff with NSSF and URA registration.
    • Upload monthly NSSF contributions and generate payment reference numbers.
    • Represent the employer at labor dispute hearings.
  5. Employee Benefits:
    • Manage employee loans and advance processes.
    • Track and process regular allowances.
    • Promote annual leave planning and provide regular updates.
    • Confirm public holidays and special calendar days.
  6. HR Information and Reporting:
    • Guide the Administrative Officer on managing employee files.
    • Prepare HR reports for KPI monitoring.
    • Ensure proper usage of the HR filing system and confidentiality provisions.
  7. Payroll Management:
    • Check necessary employee deductions against payroll.
    • Process payroll data and submit to the Head of HR.
    • Enter seasonal labor payments into the payroll system.
    • Collect and submit Contractors’ payments to Finance.
    • Process monthly rent payments.
  8. Performance Management:
    • Coordinate performance management with Directors and Line Managers.
    • Train line managers on performance management.
    • Monitor performance management progress.
    • Oversee performance improvement plans.
    • Ensure timely performance bonus payments.
  9. Workplace Compliance:
    • Comply with company policies and procedures.
    • Ensure employee understanding of HR, health, safety, and other key policies.
    • Monitor compliance with key policies.

Personal Specification:

Essential:

  • Bachelor’s degree in Human Resources or related field.
  • At least 4 years of HR experience, with 2 years at HR Manager level.
  • Knowledge of HR systems and databases.
  • Demonstrable experience with HR metrics.
  • Experience in training, recruitment, talent acquisition, employee welfare, and wellness.
  • In-depth knowledge of Ugandan Employment laws.
  • Proficiency in Excel and other Microsoft suites.
  • Fluency and excellent written skills in English.
