General Summary:
The Finance & Admin Assistant will provide financial, administrative, and secretarial support to the project office, staff, and consultants. Responsibilities include budget management, project fund accounting, asset utilization, contact information management, scheduling meetings, and minute-taking.
Key Responsibilities:
- Manage project budgets and process mobile money payments.
- Support daily project activities in the Districts.
- Assist in drawing periodic work plans/budgets in relation to set targets.
- Collaborate with Districts and project teams to support comprehensive HIV services delivery.
- Ensure safe custody and proper utilization of project funds, assets, and equipment.
- Develop monthly vehicle use schedules and supervise drivers/transport assistants.
- Manage project resources, including human resources, finances, and vehicles.
- Prepare financial reports on a monthly, quarterly, and annual basis.
- Assist with administrative management, directory maintenance, logistics, equipment inventory, and storage.
- Manage inventory of assets and supplies, monitoring stock levels.
- Coordinate between project operating units to resolve day-to-day administrative and operational problems.
- Schedule and coordinate appointments and meetings for staff and stakeholders.
- Prepare meeting minutes, notes, and internal support materials.
- Manage staff leave schedules and maintain an updated staff project leave tracker.
- Perform other duties as reasonably assigned.
Person Specification:
- Bachelor’s degree in Business Administration or a related field.
- Professional accounting qualification (ACCA, CPA) at least at stage two.
- Proven abilities in project administration, including task prioritization, setting timelines, and record-keeping.
- At least three years’ experience, ideally in an international NGO financial and administrative project administration performing similar duties.
- Experience managing US government funds (rules and regulations) is an added advantage.
- Strong written and verbal communication skills.
- Ability to support project finances.
- Understanding of budget preparation processes.
- High proficiency in using office computers and spreadsheets.
