Job Overview:
Lifewater International seeks a dedicated Accounts Assistant to manage day-to-day bookkeeping in line with Lifewater International’s accounting procedures. Reporting to the Finance and Accounting Manager, this role includes processing transactions, assisting in financial reports and budgets, managing ledgers, maintaining a filing system, vendor communication, petty cash management, inventory management, and administrative support.
Key Responsibilities:
Petty Cash Management:
- Prepare petty cash replenishment reports and withdraw funds.
- Conduct planned and unplanned petty cash counts.
- Ensure safe custody of cash at the office.
- Regularly update the petty cash ledger.
- Prepare monthly petty cash reports and reconciliations.
- Ensure timely cash disbursement.
Data Entry and Documentation:
- Review the correctness and authenticity of supporting payment documents.
- Scan and upload supporting documents for payments.
- Post approved transactions and batches.
- Ensure payment and procurement transactions are well-documented.
- Charge expenses and revenues to correct account codes.
Financial Management and Reporting:
- Prepare receipts for cash and check deposits.
- Review staff accountability and expense settlement forms.
- Collect receipts from vendors for payments made.
- Initiate payments according to approved requests and budgets.
- Prepare monthly bank account reconciliations.
- Update and clear accounts payable and receivable.
- File supporting documents for accounting transactions.
- Assist in filing monthly statutory deductions (WHT, PAYE, LST, NSSF).
Inventory Management:
- Maintain key Lifewater International items and documents.
- Regularly update the asset register.
- Support the disposal process of assets.
- Conduct quarterly physical inventory counts.
- Assist in procurement and control of inventories.
- Perform additional responsibilities as assigned by the supervisor.
Qualifications:
- Bachelor’s Degree in Accounting & Finance, Business Administration (Finance & Accounting), or a related field.
Experience:
- Minimum of 2 years of experience in a similar role, preferably in an NGO.
- Proven bookkeeping experience.
- Knowledge of finance and accounting procedures.
- Strong planning and organizational skills.
- Attention to detail.
- Proficiency in spreadsheets, Internet, Email, and accounting software (QuickBooks, Business Central).
