Organization Background: The International Rescue Committee (IRC) is a leading crisis response agency providing life-saving assistance and supporting recovery and reconstruction for people affected by war and natural disasters. IRC Uganda, registered in 1998, has a head office in Kampala and field offices in Kitgum, Karamoja, Kyaka, West Nile, and Kiryandongo.
Scope of Work: Reporting to the HR and Admin Officer, the HR/Admin Volunteer is responsible for supporting day-to-day administrative requirements, functions, and general office management of the IRC Kiryandongo office.
Duties and Responsibilities:
- Support in the creation of new staff personnel files.
- Assist in the recruitment process, including sorting and longlisting applications.
- Update existing personnel files to ensure they contain necessary information.
- Maintain and update the timesheet tracking database for national staff in Kiryandongo and appropriately file all timesheets.
- Support new staff onboarding and ensure all paperwork is correctly completed and reviewed by the supervisor.
- Maintain accurate and up-to-date personnel records, including orderly archiving.
- Assist in stamping all HR-related documents.
- Organize HR office documents and paperwork.
- Perform any other official duties as assigned by the supervisor.
Qualifications:
Requirements:
- A Bachelor’s degree in Human Resource Management or a related field.
- Ability to work under pressure and manage multiple priorities.
- Detail-oriented and able to communicate effectively.
- Strong computer skills, especially in MS Excel and Word.
- 1 year of relevant professional experience in Human Resources.
- Strong knowledge and experience with HRISs and supporting others in their use.
- Previous experience working with an international NGO in a cross-cultural setting, preferably in HR.
- Ability to analyze and interpret numerical data and processes.
- Ability to maintain discretion and confidentiality of HR information.
- Organized and methodical with good attention to detail.
- Willingness and ability to work within a multi-site, international organization.
- Customer-focused with good interpersonal skills.
- Ability to work independently with limited supervision.
- Ability to handle ambiguity and work towards a resolution.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office packages (Word, Excel, Outlook).
- Ability to coach and support others.
- Team builder with excellent people skills; culturally sensitive.
